A character reference sheet is most useful when it answers questions someone will actually have to make later: which details stay fixed, which can change, and what should happen when a new scene puts the character under different conditions?

Start with the few things that make the character recognizable. These might be a broad silhouette, a particular shape language, a characteristic item of clothing, or an object with a role in the story. Three clear anchors are often easier to use than a paragraph of tiny details.

Then separate identity from costume. A different coat or hairstyle may be exactly what a new scene needs; the point is to know which changes are intentional. Make a note of the character's defining features separately from the current outfit so that an alternate look does not accidentally become a different person.

Add a practical view. A front view can show the design, but a side or three-quarter view can reveal details hidden by the first pose. If a prop is important, show how it is held or worn. If a costume has layers, note what is underneath rather than leaving a collaborator to guess.

Keep a short change log. When the design shifts, write down what changed and why: “the long scarf became a short collar because the scarf hid the shoulder shape” is more useful than saving another file named final-final. A small dated note also helps when a writer, illustrator, or game developer returns to the project later.

Treat generated images as proposals. Review them for unwanted changes, confusing anatomy, and details that conflict with the story before choosing what to keep. If you begin from a photograph, use one you have permission to use.

I am part of the team building Zoivu, a workspace for developing original characters and exploring reference sheets. The same decision-making approach is useful with a sketchbook or any other tool: a reference sheet should help you make the next creative choice, not freeze every possibility.
